Alpha Phi Alpha Risk Management and Member Responsibilities
Insurance Coverage for Activities and Events
General Org has an insurance policy that covers approved chapter, district, and regional activities/events.
- Districts and chapters must ensure events have insurance coverage.
- Chapters are held responsible for alcohol-related accidents.
- To get insurance coverage, chapters must be in good standing and submit a special event checklist.
- A special event is something that is NOT regularly scheduled.
- All events, including community service events, require a special event checklist.
- Special events organized by chapters are covered.
- The special events checklist must be submitted to the corporate office at least 21 days in advance. Checklists submitted the week of the event will not be processed or approved.
- If the event is deemed too extreme, the chapter must obtain separate liability insurance or pay a surcharge of $100.
- Failure to comply will result in a $1,000 fine.
- Events with over 300 people are not covered.
- Do not use personal vehicles for transportation; hire professional drivers.
- Professional drivers must have commercial auto insurance with a minimum coverage of $1 million and a valid commercial license.
Special Events Checklist
- Must be typed or legibly written.
- All sections must be completed.
- Submit 21 days prior to the event.
- Send to insurance@apa1906.net.
- Even if the event is alcohol-free, still fill out the form and choose “N/A” where applicable.
- If the event has 300+ people, security must be present.
- Security and emergency evacuation plans must be reviewed.
- Signatures of the chapter president and event chair are required.
- College chapters must obtain the Alpha Advisor’s signature.
Athletic Event Waiver
- Required for basketball games, skating, and any event where a risk of injury could occur from physical activity.
- Each participant must complete a form.
Incident Claim Reporting Form
- Send immediately after an incident.
- Email to membership@apa1906.net and mail a copy to the corporate office.
Alcohol Policy
- No drinking while guests are present.
- No alcohol at recruitment activities.
- Not following the alcohol policy can result in de-chartering or civil charges.

Accountability
Corporate Office
Keep up-to-date records of chapters.
Regional and District Level
- Routine review of hazing laws.
- Ensure chapters are in good standing.
- Perform GPA checks.
- Review regularly for convention attendance.
Chapter Level
- Ensure reports are submitted.
- Take measures to ensure officers are certified.
- Ensure all brothers are certified.
- Do not allow non-active brothers to participate in chapter activities.
Alpha Advisor
- Satisfy all certification requirements.
- Maintain communication between the advisor and the chapter.
- Be knowledgeable about the rules of the fraternity, city, and college.
Brothers
- Complete all training.
- Know the fraternity’s operational procedures.
- Help protect the image and integrity of the fraternity.
Code of Conduct
Acknowledge that differing points of view are normal, etc. The fraternity adopted disciplinary procedures during the 1990 General Convention in Miami.
